Effective date: January 1, 2026. This Privacy Policy explains how Reef Mesh Core collects, uses, and protects information when you visit our website, contact our Shibuya shop, or request bicycle services.

1. Who is responsible

Reef Mesh Core operates from 4-9-11 Nozawa, Setagaya Ward, Tokyo 154-0003. We are responsible for the personal information collected through this website, our contact forms, fitting enquiries, and in-store service records.

2. Information you provide

We may collect your name, email address, telephone number, preferred fitting date, route details, bicycle measurements, and the content of messages you send us. We only ask for information that helps us answer your request or provide a safe, suitable service.

3. Information collected automatically

When you browse the site, our hosting provider may record an IP address, device type, browser, referring page, and access times. This technical information helps us keep the site secure, diagnose broken pages, and understand broad patterns such as which service pages receive attention.

4. How we use information

We use information to respond to enquiries, schedule fittings, prepare service estimates, deliver requested products, maintain workshop records, improve the website, prevent misuse, and meet legal or accounting obligations. We do not use your route notes or body measurements for unrelated advertising.

5. Service communications

If you ask about a bicycle, repair, delivery, or fitting, we may contact you by email or telephone about that request. Promotional messages are sent only where permitted and include a straightforward way to stop receiving them.

6. Sharing information

We share information only with suppliers and service providers who need it to operate the website, process a requested delivery, support secure hosting, or maintain business records. We do not sell personal information or provide customer lists to unrelated advertisers.

A typical example is a courier we use for local delivery: they receive your name and address for that one delivery and nothing else about your fitting history or purchases.

7. Retention

We keep enquiry and service records for as long as needed to provide follow-up support, honor warranties, resolve disputes, and satisfy tax or accounting requirements. When information is no longer needed, we delete it or remove identifying details using reasonable safeguards.

8. Security

We use access controls, reputable hosting, limited staff access, and routine operational safeguards to protect information. No internet transmission is completely secure, so please avoid sending payment card numbers or other highly sensitive information through ordinary contact forms.

Paper fitting sheets are kept in a locked cabinet at the workshop and shredded once the details are recorded in our service system.

9. Your choices and rights

You may ask us to confirm, correct, export, or delete personal information we hold about you, subject to legal retention duties. You may also object to optional marketing communications. Contact us at hello@reef-meshcore.com and include enough detail for us to identify the request.

10. Children

Our services are intended for adults and older riders making bicycle purchases or service arrangements. We do not knowingly collect personal information from children without appropriate guardian involvement.

11. International access

Our website may be viewed from outside Japan, and service providers may process technical information in other jurisdictions. Where required, we use appropriate contractual or organizational safeguards for such processing.

12. Policy updates

We may update this policy when our services, technology, or legal obligations change. The effective date above will be revised when changes are published. Material changes will be presented clearly on this website.

13. Contact

Questions about privacy can be sent to hello@reef-meshcore.com or by post to Reef Mesh Core, 4-9-11 Nozawa, Setagaya Ward, Tokyo 154-0003. Our telephone line is 03-3795-4811.

14. What a workshop visit adds to your file

Every torque check, brake inspection, and fitting adjustment we perform is logged so a returning bike has a service history, not just a purchase date. That log can include frame size, saddle height, and any parts we recommend replacing next.

You can ask to see this log at any time, and you can ask us to close it after your bicycle is sold, given away, or no longer in use.
